The Business Automation Checklist

A readiness check for what comes before you automate anything. We do not sell AI. We solve business problems.

This one’s different from the other two. It’s not a diagnostic of what’s wrong — it’s a readiness check for what comes before you automate anything. Most automation projects fail not because the tool was wrong, but because the business wasn’t ready for it yet. Go through this before you spend money on new software.

Foundations

  • Do you have your core processes written down somewhere, or do they only exist in your head?

  • If you were out for two weeks, could someone else follow your documented process and get a comparable result?

  • Have you actually mapped the steps in your most repeated process, start to finish, in order?

  • Do you know which parts of that process are decisions versus which parts are just repetition?

Tools

  • Is your client data centralized in one system, or spread across email, spreadsheets, and someone’s memory?

  • Do your scheduling, invoicing, and communication tools talk to each other, or do you manually bridge them?

  • Have you audited what you’re currently paying for versus what you’re actually using?

  • Would a new team member know which tool to check for which piece of information?

Team Readiness

  • Does your team understand why a process exists, or just the steps of doing it?

  • Has your team ever flagged a workaround they’ve built because the “real” process doesn’t quite work?

  • Is there one person who holds critical process knowledge that no one else has?

  • Would your team trust a new automated process, or quietly route around it out of habit?

Data Cleanliness

  • Is your client and project data reasonably accurate right now, or does it need a cleanup pass first?

  • Do you have duplicate or outdated records sitting in your systems?

  • Is the information you’d need to automate a process actually captured consistently today?

How to read your results: unchecked boxes aren’t failures — they’re your starting point. Automating on top of an undocumented process or messy data just automates the mess faster. The foundations come first.
